Function: Provide secretarial, clerical and administrative support to the administration office of Premier Medical Associates in order to ensure that services are provided in an effective and efficient manner.
Qualifications:
- High school diploma or the equivalent
- At least three year experience as a general secretary
- Proficient knowledge in office administration
- Proficient in computer use and common office equipment
- An understanding of relevant office policies and procedures
- Decision making skills
- Effective verbal and listening communication skills
- Strong organizational skills
- Ability to maintain confidentiality
- Excellent time management skills
1. Provide office support services in order to ensure efficiency and effectiveness
2. Receive, direct, and relay telephone calls and messages to the appropriate staff member
3. Coordinate and plan meetings in Admin conference rooms
4. Assist in the planning and preparation of meetings and conferences (i.e. quarterly physician meetings, AMGA)
5. Coordinate seminar and conference attendance for senior staff, including registration and travel arrangements
6. Manage and maintain schedules for COO and HR Director
7. Schedule interviews for staff and physicians
8. Respond to public inquires
9. Greet visitors and direct them to appropriate staff member or office
10. Perform general office duties such as ordering supplies and maintaining phone lists and directories
11. Opens and screens incoming mail and signs for packages; process outgoing mail for all offices
12. Type confidential documents
13. Assist in physician interview scheduling and onboarding
14. Prepare monthly Physician Vacation letter and distribute to appropriate staff
15. Prepare and distribute mass mailings in appropriate time frame
16. Track comments and complaints from all offices
17. Bill attorney offices for depositions and narratives requested of the physicians
18. Track and report all office maintenance issues
19. Prepare, process and mail and track patient discharge letters
20. Track and process all incident reports
21. Review marketing materials for accuracy as needed
22. Review and update AHN directory as needed
23. Order flowers and send cards as requested
24. Assist HR department and operations team as needed
25. Perform other related duties as required
