Overall responsibility for payroll tax compliance for Airgas USA, LLC. Develops and follows a regular payroll tax reconciliation process; identifies and oversees! adjustments/special tax filings that may be needed (including those that involve multiple pay groups); works with Division Management, ADP Tax Services and tax agencies to ensure that all necessary steps are taken for proper reporting and corrective action; tracks status and manages tasks through to completion.
Additionally responsible for Kronos systems administration and Payroll Manager support.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Develops and manages the process for obtaining and tracking Airgas USA, LLCâs state and local registrations for withholding and unemployment. Provides direction and information to/from vendors/Airgas Divisions. Completes/updates state and local registration applications as required. Ensures that new Airgas USA, LLC local tax ID numbers are obtained and provided to ADP in a timely manner so that tax filing responsibility does not fall to Airgas, and to prevent ta! x penalties and fees.
Analyzes payroll files/reports ! and works with Airgas USA, LLC Division Management to ensure that payroll tax adjustments and amendments are correctly made and filed in/applied to the proper quarter. Reconciles combined quarterly and annual Statements of Deposit, 940s and 941s to multiple (15+) pay group Wage and Tax Registers, and works with ADP Tax Services, Divisions, and tax agencies to resolve/document any reconciling items.
Uses ADPâs tools, such as the Tax and Banking Portal, to update SUI tax rates for all LLC pay groups, and performs other entries that apply to the LLC as a whole, regardless of pay group.
Works closely with the Corporate Accounting Group (CAG) and provides information needed to support their bank account reconciliation and funding processes. Provides detail breakdown of invoices and check detail, by Pay Group where possible, to allow the CAG to prepare journal entries in support of the reconciliation process.
Coordinates the prompt investigation, anal! ysis, resolution, response and follow-up on Federal, State and Local payroll tax notices received by Airgas USA, LLC. Maintains LLC tax files, and ensures an accurate and efficient data trail.
Researches payroll tax regulations and changes; enforces Division adherence to requirements; advises management on needed actions; communicates with attorneys, tax specialists, and ADP to ensure timely and accurate payroll tax reporting.
Completes or oversees Airgas USA, LLC State/Local tax filings in cases where ADP does not provide that service (e.g., tax accounts in âapplied forâ status, Local Service Taxes, etc.). Calculates tax payments and prepares tax forms and returns, where needed.
Develops, documents and maintains payroll tax standards, processes, and procedures to minimize risk and facilitate LLC payroll tax reporting; effectively communicates this information to Division Payroll Managers; performs periodic audits to verify compliance.
Provides a high level of payroll tax expertise and guidance to Payrol! l Managers. Responds to tax inquiries in a multi-jurisdiction, high volume environment.
Provides guidance on proper tax set-up for new earnings and deduction codes and calculations. Coordinates mainframe set-up with ADP and completes set-up on the Enterprise system.
Maintains professional and technical knowledge of state payroll tax requirements and payroll tax law. Stays informed of proposed/new tax legislation that is payroll-affecting.
Performs Kronos systems administration and provides Payroll Manager support, including:
Vendor management and license management
Systems security administration
Creates and controls standardized pay rules, profiles pay codes, queries and other setups (e.g., accruals) within Kronos
Provides whole-company reporting to meet Corporate information requirements
Prepares requirements definition for interfaces and product enhancements, and coordinates implementation
T! roubleshoots issues, determines problem cause and resolution
Provides systems guidance and coaching to Payroll Managers, as needed
Updates training materials, as new functionality is added
Identifies opportunities for processing efficiencies and process improvements

EDUCATION and/or EXPERIENCE :
Bachelorâs degree in Accounting or other related discipline
5+ years Payroll processing experience
3+ years Payroll tax experience, including all States, for large, decentralized companies
Experience with ADP and Kronos systems
Knowledge of accepted acc! ounting rules and practices, payroll tax laws and reporting requirement! s.
Expertise with web-based and other resources to research payroll tax issues and new legislation that affects payroll.
Detailed understanding of payroll reports/registers and how they tie together, as needed to perform ongoing monthly and quarterly tax reconciliation.
Business-minded approach to problem solving that involves collaboration, rapport building and interaction with all levels of management.
Project management experience in planning and leading projects to timely and successful complementation.
Excellent oral and written communication skills, and strong organizational skills.
Strong problem solving/analytical skills.
Technology savvy. Proficient with Payroll applications, Kronos, Microsoft Excel, Access, and Word.
Self-starting, proactive individual that is comfortable working both independently and collaboratively with others.
Ability to influence without positional power.
Occasional overnight travel may be required.
