Administrative Specialist I


 
This position is under review and must follow the guidelines in accordance with the respective collective bargaining agreements and/or NLRB definition of a confidential employee. This position must be reviewed in partnership with HR Consulting prior to posting. Provides general clerical support to department manager or staff in accordance with established guidelines and procedures, such as word-processing, filing and answering telephones. Normally receives general instructions on all assignments.

Essential Responsibilities:

  • Uses computer based programs, copy machine, calculator and other related standard office equipment to type letters, reports, correspondence and forms.

  • May compose correspondence for supervisory review.

  • Performs straight data input to prepared spreadsheets and simple posting of information to established ledgers.

  • Answers telephone inquires, takes and relays messages, and greets visitors.

  • Sorts and delivers departmental mail.

  • Maintains and stocks department office supplies.

  • Performs other related duties as assigned by management.

  • CLAUSE Various positions are under review with a joint Management/Union review committee for appropriate Union/Non-Union status and this position may be considered a union position or may be converted to a union position at some time in the future. Should this position be determined to be union it will be returned to the bargaining unit in accordance with the Collective Bargaining Agreement.

Basic Qualifications:

Experience

  • Minimum six (6) months clerical/general office experience, including filing, sorting, records maintenance and formatting standard business letters.

Education

  • High School Diploma or General Education Development (GED) required.

License, Certification, Registration

  • N/A

Additional Requirements:

  • Typing/word-processing speed: 35 wpm required.

  • Basic arithmetic, reading and writing skills.

  • Strong customer service skills required to communicate with members, department clients and staff.

  • Basic knowledge of software used by the department.

  • Skills testing as appropriate.

  • Must be able to work in a Labor/Management Partnership environment.

Preferred Qualifications:

  • Some secretarial training helpful.


Notes:


  • Travel to Medical Office Buildings in the Downey Service Area.
  • Monday-Saturday (Variable).
  • This is a temporary position.
