Position Description:
Center Valley, PA - The Senior Administrative Assistant will perform a variety of secretarial duties to ensure that Attorneys are free to focus on business concerns and legal issues. The incumbent will process and manage legal invoices, screen incoming telephone calls, type and compose correspondence and legal documents, compile and prepare various business reports, make travel arrangements, and organize and schedule meetings. He/She will prepare management presentations and maintain e! ffective administrative control over various departmental acti! vities, procedures, or programs. The incumbent will maintain personnel attendance and other administrative records. EOE M/F/D/V

Requirements and Responsibilities:

  • Process legal invoices for Olympus Corporation of the Americas (OCA) and other entities, including but not limited to, monitoring invoices to ensure billing charges are appropriate, assigning the general ledger accounting code, and distributing the bills electronically for various in-house approvals prior to submitting to Accounts Payable for payment.
  • Submit invoices to the Finance Group to charge back various entities on a monthly basis and send other invoices to Gyrus for payment.
  • Provide Finance Group with a list of invoice accruals on a monthly basis.
  • Prepare departmental reports which involves assembling necessary information by researching files and documents and communicating with various people, operating various computer software programs such as MS ! Office Suite to record and analyze information, organizing information into text, tables, and graphs, and formatting and generating reports.
  • Coordinate various departmental activities, policies, or programs to maintain effective administrative control, which involves maintaining records and logs, communicating with various internal and external people, and notifying management of any problems that may arise.
  • Respond to and screen incoming telephone calls from customers, vendors, and others.
  • Direct callers to appropriate personnel or provide information upon request.
  • Take and relay messages; escalate more complex calls to the appropriate department personnel.
  • Type confidential letters, legal documents, reports, and memoranda from rough draft written notes ensuring accurate grammar, spelling, and business formats.
  • Compose routine correspondence; send original and copies of correspondence to designated addressees and mainta! in correspondence files.
  • Enter basic information such as compa! ny name, address, etc. into various agreements and other documents, upon instruction from the attorneys.
  • Coordinate delivery of agreements and documents to appropriate parties for signature.
  • Ensure that all agreements and documents contain a Document Tracking Sheet and that Corporation receives fully executed agreements and documents.
  • Organize and distribute daily incoming/outgoing mail for staff.
  • Complete necessary forms.
  • Communicate with the Mail Room staff to arrange for shipments and pick-ups.
  • Distribute daily incoming faxes and photocopies material as required.
  • Make travel arrangements for attorneys, which involves working with Corporate Travel Department to arrange transportation and lodging; prepare and distributes travel itineraries; make arrangements for dining or other entertainment such as sporting event tickets, etc as requested.
  • Review and log travel and entertainment forms.
  • Prepar! e attorney expense reports.
  • Organize and schedule on-site or off-site meetings; ensure that facilities are adequate.
  • Arrange for food and beverage service when required.
  • Maintain a calendar of itineraries and schedules, and coordinate business meetings and conference calls.
  • Prepare reimbursement requisitions for offsite meeting attendees.
  • Monitor and maintain adequate quantities of office supplies and equipment for the staff; prepare purchase requisitions when inventory levels are low.
  • Select office products and equipment from vendor catalogues or approved lists of standard office supplies.
  • Monitor invoices to ensure billing charges are appropriate, assign the general ledger accounting code, and submit the bills for signature.
  • Organize and maintain files of departmental records, literature, and reports; recover information from files upon request.
  • Maintain logs and other records to track variou! s departmental operations.
  • Maintain personnel attendance recor! ds.
  • Assist in the creation of management presentations by using computer programs to create charts, graphs, and slides as needed; may select or recommend font styles and slide formats; prepare copies of presentation materials for all attendees.
  • Perform other related duties as assigned.
Qualifications:
(ONLY QUALIFIED CANDIDATES WILL BE CONSIDERED)

  • An Associate's Degree in Business or Secretarial Science or equivalent experience and knowledge is preferred.
  • A minimum of 5 years of legal secretarial experience in a law firm or in-house setting is required.
  • 70 â€' 100 WPM typing skills are required.
  • Strong written and verbal communication skills are essential.
  • Must have fast hand writing or stenography skills.
  • Transcription of audio dictation skills are preferred.
  • Must have knowledge of desktop computer software such as Windows, Word, Excel, PowerPoint, Internet, Lotu! s Notes, and Eâ€'Mail.
  • Excellent organizational skills are essential.
  • Attention to detail and the ability to multi-task are necessary.
  • The following physical demand is required:
  • Stand/Sit/Walk 8 hours a day
